What it is for
A monthly shift schedule without placing shifts by hand. Give each employee a pattern (2/2, 24h on/72h off, 5/2, 6/1 or your own) and a cycle start date: the calendar fills in with formulas. Leave, sick days and swaps are entered separately, while Excel counts shifts, hours and night hours and highlights problem spots.
What is inside
- Settings sheet: month and year, hours per shift, night time (start and end), D/N/F shift start times, editable cycle patterns, minimum people per shift.
- Holidays sheet: non-working days for 2026 and 2027, used by the “5/2 by calendar” pattern and the hours norm.
- Schedule sheet: up to 100 employees, a 31-day calendar, totals (shifts, hours, night hours, days off, absences), hours norm and variance, and a Check column.
- Edits sheet: only exceptions are entered — shift swap, annual leave (AL), sick leave (S), business trip (BT), shift cancellation.
- Coverage sheet: how many people are on shift each day, with understaffed days highlighted.
- Highlighting: more than the set number of shifts in a row, overlapping shifts, and a lack of continuous weekly rest (approximate check).
Who it suits
Security managers, dispatchers, heads of duty services, hospitals and any organization with shift work, and HR staff who build shift schedules. The template builds the schedule from the chosen pattern, counts night hours and the norm, and highlights understaffed shifts and missing continuous rest (the check is approximate).
Compatibility
Excel 2007 and newer, LibreOffice. No macros. The file is in English. The rest check is approximate; working Saturdays and shortened pre-holiday days are not included in the hours norm.
