What it's for

A wedding or anniversary quickly turns into dozens of contracts, deposits and guests to keep track of. In this template you enter expense items with plan, actual and payments, and the spreadsheet shows the balance, overdue payments and money still available. The guest list counts who is coming and flags who hasn't been given a seat yet.

What's inside

  • “Settings”: event name and date, total budget, reserve, tables and seats, expense categories, guest groups, menu types.
  • “Expenses”: up to 300 items: plan, contract amount, paid, balance due date, balance, variance and a payment status traffic light.
  • “Guests”: up to 500 rows: number of people and children, invitation, RSVP, table, menu; the “Check” column catches guests without a table and overfull tables.
  • “Summary”: budget by category, available balance, amount still to pay, guests by reply, menu order for the venue and two charts.

Who it's for

Couples and their parents, wedding and party planners, and anyone organising a corporate party, graduation or family celebration who wants to keep the budget and guest list in one file.

Compatibility

Excel 2007 and later, LibreOffice. No macros. Calculations are approximate. The file is in English.

Questions and answers

Will it work for an anniversary or a corporate party?
Yes. The event name, expense categories, tables and guest groups can be changed on the “Settings” sheet, so the template adapts to any celebration.
How is the available budget calculated?
The contingency reserve and committed expenses are subtracted from the total budget. For each item, the actual contract amount is used or, if there isn't one, the planned amount. A minus means overspending.
How does the seating check work?
If a guest replied “Attending” but no table is set, the “Check” column shows “needs a table”. If more people are seated at a table than there are seats, the table is marked as overfull.
How do I know which payments are due?
Enter the balance due date for the item. The status changes to “Due soon” the set number of days before, and to “Overdue” once the date has passed and the balance is unpaid.
